The British Orthodontic Conference taking place in Manchester on the 19th to the 21st September is one of the most important conferences for Orthodontists in Europe.</p>
<p>Many medical and dental associations, like the BOS are beginning to see the benefits of conference apps as they can offer a whole host of features specific to medical and dental conferences such as; Abstract E-books and automated professional attendance certificates, enhanced networking features.  The British Orthodontic Society Conference app will also help the association to communicate easily with their delegates and provide a brand new marketing opportunity for the association.</p>

Adapted specifically for the requirements of medical conferences it contains many features bespoke to the requirements of this kind of event.</p>

<p>The apps we developed for the Spring Conference were well received and working on the success of our previous project we are looking forward to incorporating new and exciting features to further enhance the conference experience for delegates</p>

<p>The Liberal Democrats Conference App will be launched on the App Store and Google Play later this year for delegates to download ahead of the conference.</p>
<p>Conference organisers, such as the Liberal Democrats party conference organisers, are noticing the advantages of Conference Apps. 				<content:encoded><![CDATA[<p>Conference and event apps are a highly effective tool for forward thinking organisers to take their events to another level.  An app can be used to fulfil key organisational functions, provide covetable advertising space and perform a crucial information gathering function.  However, in order for it to function at its best, the app needs to be downloaded and used, and in order to achieve this kind of take up, the app must be properly marketed.  There is little point in spending time and money on developing a top spec app with excellent functionality if it is never downloaded.  This is why the marketing stage of the app is as crucial to its success as the development of the app itself.</p>
<p><strong>Have a plan</strong></p>
<p>Marketing an event app takes some forward thinking and it’s unwise to leave this until the last minute or to approach it without a strategic plan, as this can seriously damage the app’s chances of success.  When drawing up a marketing plan consider the three basic stages of the marketing – before the event, during and after – as well as the target audiences for the app.  The longer the lead in time for the marketing the better – there is evidence to suggest that for every two months lead in time allowed, take up on the app can double.  Any app marketing plan should at least give consideration to these basics:</p>
<p>- Engaging sponsors.</p>
<p>- Using social media.</p>
<p>- Promoting through a website, mail shots, newsletters, press releases and adverts.</p>
<p>- Having app ambassadors at the event to promote and explain.</p>
<p>- Pushing the app at all opportunities, from registration, through to speaker sessions.</p>
<p>- Using the app to collect valuable information from those attending the conference.</p>
<p>(these are covered in more detail below)</p>
<p><strong>Target users</strong></p>
<p>Now you have a general idea of what needs to be included in your marketing, consider who is the app designed for and why?  App use is relatively new in all business sectors but is quickly gaining momentum due to the advantages this kind of technology offers.  In the events sector, there are some very specific benefits for an organiser and achieving these should be taken into account when it comes to targeting the marketing:</p>
<p>Attracting sponsorship revenue (target: sponsors)</p>
<p>Efficient, ongoing event organisation and management (target: delegates)</p>
<p>Advanced networking opportunities (target: delegates)</p>
<p>Filling exhibitor space at the event (target: exhibitors)</p>
<p>Each app will be different and you may want to target some of these potential app users, or all of them.  Once the target audience(s) for the app has been established then the marketing itself can begin.</p>
<p><strong>Pre Event Marketing</strong></p>
<p>Before contacting potential sponsors take a good look at the app you are offering.  In particular make sure it has <strong>a professional design, relevant functionality and that you understand how it works</strong> so that you can market it properly.  The design of the app is particularly important as an amateur design that looks more like a cheap website with clipart square buttons all over the front and cheap looking banner adverts at the bottom is unlikely to attract premium, high value sponsorship.</p>
<p><strong>Decide where you want to place the sponsorship on this app</strong> – do you want to sell the entire front page to a single sponsor, or to include smaller sections throughout the various pages of the app?  When working with the designer to put the app together, include messages to sponsors in the advertising space you want to sell, along the lines of ‘insert your advert here’ so sponsors can see what is on offer.  You can also include data that shows how often adverts in certain places are ‘tapped’ by those who have downloaded the app, as this will make the space more attractive.</p>
<p><strong>Create your basic marketing materials</strong> – a website is key, especially for showcasing technology like the app.  Your event website should already be up and running and you can considerably boost your app marketing by promoting it via a click through on the front page of your site.  When users click through, take them to a simple description of the app, listing how it will benefit those who download it and linking it directly to the app stores it can be downloaded from (consider covering at least Apple, Blackberry and Android).</p>
<p>You might want to tailor this marketing by breaking the app benefits down into those specific to delegates, sponsors or exhibitors and then including them on the pages devoted to those potential users to increase the effectiveness of the message.</p>
<p><strong>Social media</strong> is increasingly being used to spread marketing messages as forums like blogs, Twitter, LinkedIn and Facebook are enormously effective and fast.  Encourage followers and friends to pass on information about the app by retweeting and sharing, and provide regular updates as to the app content, whether you’re describing the app’s venue mapping function, or the networking potential.  If the event is being covered by bloggers, or is mentioned by others in a social media context, then use their posts, updates and statuses to tag the app information onto – mention in a retweet or a share.</p>
<p><strong>Use existing channels of communication</strong> that you have opened with those who have already signed up to attend – exhibitors or delegates – to promote the app via mail shots and newsletters.  You can provide details of the advantages of the app and even offer a prize to the 100<sup>th</sup> downloader etc.  Make sure that any press in which the event is featured also mentions the app – whether it’s a magazine cover, show previews, or amateur editorial – and dedicate a paragraph to it in every press release.  It’s a good idea to include an image of the app – to show its premium design – as well as some of its key features.</p>
<p><strong>Use the usual pre-event literature and materials</strong> <strong>as a platform</strong> for promoting the app – such as an event handbook, pens, registration forms, even the tickets themselves.  If you have enough room (for example, in the event handbook) then cover the full range of benefits for all delegates and exhibitors.  Make sure that it’s really easy for a reader to make the jump from reading this information to downloading the app itself, whether it’s a direct link on a web page, or a clear web address on a physical handbook.</p>
<p>The app uptake is likely to be particularly successful if the app has features that assist exhibitors and delegates with pre conference organisation – for example you could use the app to allow delegates to pre-register.  This will ensure app uptake is increased, and will also establish a channel of communication through which you can encourage more registrants to become delegates.</p>
<p><strong>Include the app image and information on all the advertising</strong>, with direct click throughs to dedicated app pages, wherever this is in electronic form.  It’s also a good idea to ask anyone else who is also publicising the event – such as the exhibitors – to attach the image of the app to their own publicity.</p>
<p><strong>During the event itself</strong></p>
<p><strong>As soon as attendees arrive encourage them to download the app.</strong>  Rather than handing over reams of paper guides and schedules, have fully informed representatives on hand (‘app ambassadors’) – or even an explanatory flyer – to demonstrate the advantages of using the app for maximising the event experience.  Continue to make use of opportunities to bring the benefits of the app to attendees’ attention throughout the event, for example when attendees are signing up for WiFi.  Make good use of app ambassadors and send them out to circulate, so that they can ‘sell’ the app to all those they come into contact with.</p>
<p><strong>Don’t rest on your laurels during the event. </strong>Use the app to send push notifications throughout the event – notifying of changes in schedules or breaking news – and ensure the app is designed with live features to keep attendees interacting, for example, design the app so it can be used to submit questions to a speaker, to find the nearest Wi-Fi hotspot, and to network with others.</p>
<p><strong>Feature the app information on any literature</strong> that is provided as attendees arrive, from plastic bags, to venue information, guides or event freebies.  If you are offering regular news updates on the event in paper form then include information on the app and remind anyone who doesn’t have it yet what they are missing.</p>
<p><strong>Provide plenty of app ambassadors on hand at all times</strong> for those who want to download the app but perhaps don’t have the expertise to use it without a little help.  Make it intuitive, easy to use and – importantly – easy to explain, and attendees will quickly start to see the benefits.</p>
<p><strong>Be sure to use the app to gather information on those attending the event</strong>, as well as their views and opinions on how the event was run, what could be improved, what they particularly enjoyed.  You can provide feedback forms through the app and ask attendees to complete them via event literature or even by asking event speakers to finish every talk with a little reminder about using the app to give feedback.</p>
<p><strong>After the event marketing</strong></p>
<p><strong>Carry on using the app</strong> – between you and those who downloaded the app there is now an open marketing channel.  Use the app to send push notifications, information and updates that those who attended the event might find interesting or useful.  You can use this as another way to sell sponsorship, but be wary of simply sending out endless sponsored messages as this could cause the app to be deleted.</p>
<p><strong>Use the app to publicise any upcoming events you have, as well as the next conference</strong> and to encourage post event networking between delegates, to keep the conversations going.</p>
<p><strong>Don’t forget to use the app to gather valuable feedback after the event, as well as during</strong>.  Don’t bombard people with feedback requests but provide plenty of opportunities for people to easily submit their opinions.  This will give you just the right kind of information to make sure that both your app and your event continue to develop and grow in just the right direction.</p>

<p>The apps we developed for the Autumn Conference were well received and working on the success of our previous project we are looking forward to incorporating new and exciting features to further enhance the conference experience for delegates</p>

<p>The world congress is the RCOG’s flagship event and attracts over 1000 delegates. <p>We are delighted that Airmic has chosen to work with us to develop an app for their 2013 Conference. The app will be designed to completely enhance the delegate and exhibitors experience whilst in Brighton. The Airmic conference app will be launched on the App Store and Google Play early next year for delegates to download well in advance of the conference and will include leading edge technology in the area. It will also be available for Blackberry.</p>
